PURPOSE OF ROLE:

 

As an Executive Secretary, you’ll work to provide daily administrative support to the general manager and the hotel management, keep good communication with the internal and external of the hotel.

WHAT YOU’LL NEED:

  • Experience: Familiar with international hotel operation rules, more than 1 year experience in the same position in international brand hotel is priority, Gradudates also can accept. 
  • Education: Bachelor’s degree or above, major in secretarial, law, hotel management or other administrative major.
  • Skills: Good communication skills, strong language expression ability and flexible handling ability, able to coordinate various internal and external relations independently. Fluent in spoken and written English.
  • Personality: Good personal quality and professional ethics, and strictly abide by relevant laws, regulations and rules. 
  

WHAT YOU’LL DO:

  • Provides written translation and instant interpretation.
  • Performs independent correspondence as required.
  • Plans and schedules appointments, interviews and meetings.
  • Maintains an efficient filing system.
  • Handles guest complaints independently in the absence of General Manager.
  • Screens and handles phone calls in a professional manner ensuring calls are transferred correctly and timely and all messages are taken down very carefully in details.
  • Greets and assists guests in a professional manner.
  • Priorities support and assistance to General Manager and Core Team. 
  • Keeps in touch with all departments and team members of the hotel in a timely and effective manner, and implements relevant matters assigned by the General Manager.
  • Arranges business trip for general manager as required.
  • Ensures that the monthly management report of CSO is completed on time.
  • Assists the General Manager to effectively manage the hotel seal.
  • Maintains the utmost confidentiality and discretion when handling business affairs
